Job Role

The Human Resources and Administrative specialist is accountable for implementing administrative and HR processes, encompassing maintaining employee records, recruitment, onboarding, ensuring accurate timekeeping, and benefits administration. The role requires close attention to compliance with labor laws and company policies.

Duties and ResponsibilitiesTalent Acquisition
  • Assist in sourcing manpower needs.
  • Collaborate with the team to create and publish job vacancies through internal and external advertising.
Deployment Management and Onboarding
  • Manage and collate pre-employment requirements of candidates, ensuring completeness.
  • Process Leave of Absence for pre-employment medical examination and coordinate with accredited clinics on medical results.
Database and Records Management
  • Prepare employment files for new hires.
  • Monitor new hire employees lacking pre-employment requirements.
  • Scan documents and send to the HR Specialist for employee creation, enrolling employees in the HR Information System.
  • Coordinate with the HR Admin for employment ID processing.
Timekeeping and Benefits Administration
  • Ensure timely processing of attendance, leaves, and other transactions by observing timekeeping and payroll calendars. Prepare monthly salary sheets including adjustments based on leaves, overtime, bonuses, commissions, or other factors. Review payroll deductions.
  • Assist with payroll functions, including timekeeping processing, answering employee questions, resolving issues on timekeeping, compensation, and benefits, and distributing final checks.
Employee Relations
  • E nsure compliance with General Labor Standards (GLS) and Occupational Safety and Health (OSH), as well as other labor laws and issuances.
  • Support stores during DOLE Inspections, coordinating with departments for required documents/data and consolidating them for orderly submission.

Qualifications:

  • Bachelor's degree in Psychology, Behavioral Science, or Human Resources management courses is required.
  • Minimum 1 year of HR experience.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Attentive with a high level of service orientation.
  • Ability to function well in a fast-paced and sometimes stressful environment.
