Job Title: Virtual Front Office Assistant

Job Description

We are seeking a highly organized and detail-oriented individual to join our team as a Virtual Front Office Assistant. In this role, you will provide remote administrative and operational support to the hotel's Front Office team, enabling on-site receptionists to focus on guest-facing activities.

Responsibilities:

  • Manage incoming reservation emails and online booking inquiries, process bookings in the property management system (PMS), and complete daily reports such as Reservation Activity Reports and other internal checklists.
  • Assist with Night Audit preparation, ensure all guest profiles and reservation data are accurately maintained in the system, and respond to basic guest queries via email or other communication platforms.
  • Handle overflow calls and transfer as needed, pending technology upgrade, and assist in reconciling daily takings and financial transactions.
Required Skills and Qualifications

To be successful in this role, you should have:

  • Strong attention to detail and accuracy in processing reservations and maintaining guest profiles.
  • Professional written communication skills to effectively respond to guest inquiries and requests.
  • Proactive and self-motivated with the ability to work autonomously in a remote setting.
  • Organized and able to manage competing priorities remotely.
  • Tech-savvy with confidence in using PMS systems, Microsoft Office, and email systems.
