Job Title: System Operations Coordinator

Our organization is seeking a meticulous and process-driven Systems Operations Coordinator to join its growing team. This role combines system setup, workflow oversight, and account coordination to support the success of client-facing Account Managers.

Key Responsibilities:
  • System Setup & Management:
    • Configure and maintain internal systems for new and existing client accounts.
    • Ensure systems are optimized to support seamless account delivery and high client satisfaction.
  • Process & Workflow Management:
    • Develop, document, and refine internal workflows to improve operational efficiency.
    • Monitor ongoing processes and proactively address bottlenecks or errors.
  • Data Integrity & Quality Control:
    • Maintain accurate records across systems; perform regular data audits.
    • Implement data validation procedures to ensure accuracy throughout the client lifecycle.
  • Client Support Coordination:
    • Collaborate closely with client-facing Account Managers to support account delivery.
    • Assist with the preparation of client reports, proposals, and system demonstrations.
  • IT & Systems Proficiency:
    • Utilize general IT tools (e.g., CRM, Excel, databases, reporting tools) to manage and troubleshoot client systems.
    • Provide first-level internal technical support and liaise with external providers as needed.
  • Commercial Acumen:
    • Understand the property market context of our clients to better align operational support.
    • Contribute to commercial discussions and account reviews using relevant system data and insights.

This opportunity requires someone with strong process management skills, attention to detail, and proficiency in standard IT tools.

Requirements:
  • Proven experience in systems support, operations, or account management.
  • Strong process management and optimization skills.
  • Exceptional attention to detail and commitment to data accuracy.
  • Proficiency in standard IT tools (e.g., CRMs, Excel, collaboration platforms, databases).
  • Excellent communication and cross-functional collaboration skills.
  • A basic understanding of the commercial property sector or a strong willingness to learn.
  • The ability to manage multiple priorities in a fast-paced, remote environment.
Preferred Qualifications:
  • Experience in system setup or onboarding in a SaaS or property-related context.
  • Familiarity with data management and reporting tools (e.g., Power BI, Salesforce, Monday.com).
  • A background or interest in commercial real estate or facilities management.
