Operations Administrative Assistant Role Overview

This is a high-trust position that plays a pivotal part in supporting finance, people operations, and administrative efficiency across the organization.

Main Responsibilities:
  • Financial Administration:
  1. Initiate and track payments across multiple bank accounts.
  2. Reconcile monthly credit card transactions and maintain accurate records.
  3. Manage expense reimbursements and coordinate with internal stakeholders.
Accounts Payable & Bill Payment Management:
  1. Own day-to-day management of Bill.com, including invoice entry, coding, approvals, and payment execution.
  2. Communicate directly with vendors to confirm payment timing and request documentation.
  3. Track aging payables and flag overdue items or payment risks.
Payroll Processing:
  1. Run biweekly payroll in Gusto for employees and contractors, ensuring timely and accurate payment.
  2. Manage bonuses, commissions, and contractor disbursements in coordination with department leads.
  3. Maintain payroll records and documentation in accordance with compliance standards.
Bookkeeping & Financial Support:
  1. Enter and categorize transactions in QuickBooks to maintain accurate financial records.
  2. Assist with monthly close tasks in coordination with the finance team.
  3. Support cross-system reconciliation across bank accounts, Bill.com, Gusto, and internal records.
Tax Compliance:
  1. File sales tax returns accurately and on time across applicable states.
  2. Coordinate with the CPA to support sales tax compliance and respond to documentation requests.
  3. Organize and maintain tax-related records to support annual filings and audits.
People Operations & Onboarding:
  1. Set up new employee and contractor accounts across internal platforms.
  2. Prepare and maintain onboarding materials, including welcome packets, policies, and documentation checklists.
  3. Coordinate with department leads to ensure smooth onboarding and system access.
General Operations & Administrative Support:
  1. Assist with scheduling internal meetings, vendor calls, and other logistics as needed by the leadership team.
  2. Maintain organized shared drives, folders, and documentation systems.
