Job Overview:

We are seeking an Executive Administrator Assistant to join our team at Compliant Business Processing Philippines Inc. The successful candidate will work closely with the Sales Director and be responsible for providing administrative support and assistance with sales-related tasks.

The ideal candidate will have a minimum of 4+ years of experience as an Executive Assistant, excellent communication and organizational skills, and the ability to work independently with minimal supervision. They will also have experience using Hubspot CRM and advanced Microsoft Office skills.

Duties and Responsibilities:

• Provide administrative support to the Sales Director and other team members.
• Assist with the preparation of sales proposals and contracts.
• Coordinate executive communications, including responding to emails and interfacing with clients.
• Prepare internal and external corporate documents for team members and industry partners.
• Schedule meetings and appointments and manage travel itineraries.
• Arrange corporate events outside of the workplace.
• Maintain an organized filing system of paper and electronic documents.
• Uphold a strict level of confidentiality.
• Develop and sustain a level of professionalism among staff and clients.

Requirements:

• Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management.
• Experience working in an Australian company is a plus.
• Experience using Hubspot CRM is required.
• Experience working in a logistics and freight forwarding industry is desired.
• Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
• Proficiency in collaboration and delegation of duties.
• Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
• Exceptional interpersonal skills.
