Executive Assistant to the COO

The Executive Assistant (EA) serves as a strategic partner to the Chief Operating Officer (COO), ensuring seamless operations and maximizing the COO's effectiveness. This role requires a proactive, highly organized professional who can manage complex administrative tasks, facilitate high-level communications, and coordinate cross-functional initiatives. The EA will play a crucial role in optimizing the COO's time, maintaining alignment across teams, and driving operational efficiency.

Key Responsibilities
  1. Executive Administrative Support
    • Proactively manage the COO's calendar, appointments, and travel logistics to optimize efficiency.

    • Coordinate and oversee meetings, agendas, and materials, ensuring the COO is well-prepared.

    • Handle emails, calls, and correspondence on behalf of the COO, prioritizing urgent matters.

  2. Communication & Stakeholder Management
    • Serve as the primary liaison between the COO and internal/external stakeholders.

    • Draft, proofread, and refine executive-level documents, reports, and presentations.

    • Support the COO in preparing for meetings, conferences, and high-level engagements.

  3. Information & Operations Management
    • Maintain organized, up-to-date records, reports, and databases for quick access.

    • Exercise strict confidentiality and discretion in handling sensitive information.

  4. Strategic Project Coordination
    • Assist in the execution of special projects, key initiatives, and company-wide events.

    • Collaborate with different departments to gather critical insights and drive alignment.

  5. Financial & Administrative Oversight
    • Support the management of expense reports, budgets, and financial documentation.

    • Work closely with the finance team to ensure accuracy in financial transactions.

Qualifications
  • Bachelor's degree in Business Administration or a related field.

  • Minimum of 5 years of experience supporting C-level executives in a fast-paced environment.

  • Exceptional organizational skills, with the ability to prioritize multiple tasks seamlessly.

  • Strong business acumen and ability to anticipate the COO's needs proactively.

  • Outstanding written and verbal communication skills, with keen attention to detail.

  • Proven ability to build relationships with senior executives and stakeholders.

  • Tech-savvy, with proficiency in MS Office Suite and other business tools.

  • High level of professional discretion and ability to handle confidential information.

  • A resourceful problem-solver with strong decision-making capabilities.
