The Customer Experience Specialist is a vital role that requires exceptional communication skills, empathy, and problem-solving abilities. This position involves handling patient intake calls, gathering information, and scheduling appointments with doctors. The ideal candidate will be able to work effectively in a fast-paced environment, prioritize tasks, and maintain accurate records.
Key Responsibilities:- Patient Communication: Answer and manage intake phone calls from patients in a friendly and professional manner, providing a warm welcome and reassurance in urgent or stressful situations.
- Patient Information Gathering: Obtain and record detailed client information, including personal details, location, and a summary of symptoms or chief complaints.
- Appointment Scheduling: Quickly assess the urgency of patient needs and schedule same-day or urgent appointments accordingly, coordinating appointment times by matching patient availability with on-call doctor schedules.
- Doctor Coordination: Determine and assign the appropriate doctor for each case based on patient symptoms, location, and timing, using internal rosters and location mapping to identify the best-suited doctor.
- Communication & Follow-Up: Send out confirmation details and informative follow-ups to patients and doctors, ensuring patients know what to expect and doctors have the necessary information.
- Post-Appointment Follow-Up: Reach out to patients to confirm their issue was addressed and they are satisfied with the service, and follow up with doctors to verify the visit was completed successfully.
- Issue Resolution & Troubleshooting: Proactively manage and resolve logistical issues that may occur during the intake or appointment process, working quickly to find solutions and minimizing disruption to care.
Requirements:
- 1+ years of experience in customer service, patient intake, or call center roles; healthcare industry experience is beneficial but not required.
- Excellent communication skills, fluent English proficiency, and a clear speaking voice.
- Strong organizational skills, ability to multitask, and prioritize urgent situations effectively.
- Comfortable using technology to facilitate workflow, with experience in electronic medical record (EMR) systems, scheduling software, or CRM tools preferred.
- Critical thinking and quick decision-making skills to match doctors with patients and resolve scheduling or logistical conflicts.
- Meticulous in recording patient information, scheduling details, and follow-up notes correctly.
- Ability to work as part of a remote team, communicating with colleagues and doctors across time zones.
