Job Overview

We are seeking a highly organized and detail-oriented professional to manage multiple priorities, streamline workflows, and ensure seamless collaboration across teams. As a key member of our team, you will be responsible for driving projects forward and ensuring successful outcomes.

Main Responsibilities:
  • Taking thorough meeting notes and preparing concise summaries for internal or client meetings
  • Managing daily tasks and agendas, including email management and task reminders
  • Organizing and maintaining project plans in a PM tool (tagging stakeholders, requesting missing information, prioritizing tasks, and ensuring execution)
  • Communicating regularly with account strategists or owners to review task status and adjust timelines as needed
  • Monitoring backend project progress across all clients, with deeper involvement in select accounts to ensure smooth handoffs and deliverables
  • Providing weekly reporting and data entry into internal project boards
  • Capturing action items, assigning them in the PM tool, and ensuring completion
  • Assisting with scheduling internal or client-related meetings as needed
  • Supporting ad-hoc tasks such as light content creation, data exports, dashboard updates, and vendor coordination
Requirements:
  • At least 4 years of experience in project management or operations (agency experience preferred)
  • Demonstrated history of strong organization, attention to detail, and follow-through
  • 2+ years using a PM tool (such as ClickUp) for project management
  • Demonstrated ability to manage multiple work streams from start to finish, including cross-functional coordination
  • Strong task-focused mindset with ability to self-manage and anticipate needs
  • Comfort with AI tools for drafting, research, or workflow automation
  • 2+ years of experience with Excel/Google Sheets (basic-intermediate formulas, regular use)
