Job Description

This role is designed to provide comprehensive support to real estate teams, working remotely with the flexibility of a long-term placement and home-based work.

The position involves managing administrative tasks, client support for real estate transactions, and collaborating with the Transaction Coordinator to ensure paperwork is in order and maintain consistent follow-ups and personalized communication with clients after sales.

We are seeking a detail-oriented individual who can bring structure to complex processes, manage multiple tasks effectively, and communicate clearly and professionally.

This role requires excellent organizational skills, the ability to prioritize tasks, and a high level of adaptability in a fast-paced environment.

Key Responsibilities
  • Provide comprehensive administrative support, including email management, calendar organization, and CRM system maintenance.
  • Assist in document preparation and organization related to real estate transactions.
  • Collaborate with the Transaction Coordinator, run reports (e.g., CMAs), and handle transaction-related duties as needed.
  • Stay in touch with clients and follow up after sales via email to maintain high service standards.
  • Ensure ongoing client engagement through consistent and organized communications.
  • Maintain accurate records of client interactions and transaction information.
  • Oversee and maintain client data in the CRM, ensuring it is accurate and up-to-date.
  • Regularly update information for both prospects and existing clients.
  • Track and update client birthdays and house anniversaries.
  • Segment client data to send targeted email marketing to the appropriate audience.
  • Work closely with team members to support administrative needs, ensuring smooth communication and workflow.
  • Assist with other operational tasks as needed.
Requirements
  • You have experience in real estate support or a similar administrative role.
  • You are highly organized, detail-oriented, and able to manage multiple tasks effectively.
  • You have excellent communication and interpersonal skills, with the ability to work well in a remote team environment.
  • You are proficient in using CRMs, spreadsheets, and cloud-based tools.
