
Administrative Support Specialist

We are seeking an experienced Operational Support Specialist to join our team.
About the Role:
The successful candidate will be responsible for providing administrative support to the CEO, ensuring seamless operations and timely follow-ups. Key responsibilities include managing the CEO's inbox and task list, scheduling meetings, coordinating calls, and assisting with business communication. Additionally, the role involves shifting invoicing to QuickBooks, handling sending, tracking, and collecting payments, preparing and maintaining essential client documents, and assisting in setting up tools and systems to improve workflow efficiency.
Requirements:
- 5+ years experience in an operational and executive assistant role.
- Highly detail-oriented and thrives on clarity, structure, and follow-through.
- Proactive and takes initiative—anticipates needs before being asked.
- Tech-savvy with tools like QuickBooks, Google Workspace, Slack, and Zoom.
- Communicates clearly and professionally, both in writing and over the phone.
- Able to manage shifting priorities and work independently with minimal supervision.
- Brings experience supporting small U.S.-based businesses, ideally in construction or trades.
Benefits:
- $1000 - $1500/mo. depending on experience
- $500 bonus at 90 days and $1,800 available in annual performance bonuses
