Job Title: Strategic Operations Coordinator Job Description

We are seeking a highly skilled and experienced Strategic Operations Coordinator to join our team. As the right-hand person to our busy CEO, you will be responsible for managing day-to-day operations, project timelines, and ensuring the smooth execution of events and partnerships.

As a key member of our team, you will be responsible for:

  • Managing inboxes with smart triage and clear communication.
  • Own calendar scheduling and coordinate internal and external meetings.
  • Book travel and accommodation with foresight and efficiency.
  • Take accurate meeting minutes and ensure follow-through on action points.
  • Maintain CRMs with accuracy.
  • Organise and maintain shared drives and filing systems.
  • Compile and manage guest lists, RSVPs, and event reminders.
  • Support with post-event surveys, reporting, and webinar content organisation.
  • Handle member and partner onboarding, communications, and database updates.
  • Manage general queries with professionalism and track RSVPs for activations.
  • Compile year-end partner performance reports and presentation materials.
  • Build and manage project trackers, timelines, and checklists.
  • Coordinate with stakeholders to gather inputs and updates across projects.
 Required Skills and Qualifications

To succeed in this role, you will require:

  • 3-5 years of proven experience as an Operations Specialist, Chief of Staff, or Executive Assistant at mid–senior level.
  • Strong organisational and project management skills.
  • Proficiency with productivity tools (Google Workspace, MS Office, Slack, Zoom).
  • Excellent reporting and presentation-building skills.
  • Familiarity with advertising, media, or tech industries is a bonus.
  • Meticulous attention to detail and ability to anticipate needs.
  • Strong communication skills, both written and verbal.
  • Discretion in handling sensitive information.
  • Ability to prioritise, stay resourceful, and perform under pressure.
  • Relationship-driven, collaborative, and solutions-focused approach.
