Key Job Responsibilities

Manage Daily Operations.

This long-term role involves wearing multiple hats, balancing administrative and financial tasks critical to day-to-day operations. The right candidate will own their responsibilities, support the business owner directly, and keep the office organized even virtually.

Primary Tasks:
  • Manage QuickBooks for bookkeeping, payroll coordination, and invoice creation.
  • Process timecards and pull reports.
  • Assist with job costing, contract tracking, and ordering materials.
  • Manage emails, schedules, contracts, and general admin tasks.
  • Support the business owner by tracking deadlines and keeping tasks prioritized.
  • Communicate with vendors and handle sensitive information with discretion.
Requirements:
  • Minimum 3 years of experience in bookkeeping and/or executive assistant roles.
  • Proficiency with QuickBooks (bookkeeping, invoicing, and payroll).
  • Strong written and verbal communication skills.
  • Comfortable working full-time on a Pacific Time schedule.
  • High attention to detail and strong follow-through.
  • Ability to work independently and proactively.
  • Experience in small business or contractor/trade environments preferred.
  • Familiar with email platforms, timecard processing, and contract management.
  • Strong organizational and multitasking skills.
  • Maintain confidentiality and handle business operations with professionalism.
