The role of an Executive Assistant at Hunters Hub Inc. involves providing high-level administrative support to the Chief Technology Officer (CTO). This includes calendar management, meeting scheduling, and internal/external coordination. Key responsibilities include preparing meeting materials, drafting agendas, taking minutes, and ensuring follow-up on action items. In addition, the successful candidate will be responsible for managing communications, drafting replies, prioritizing messages, and ensuring timely responses.

The Executive Assistant will also prepare, review, and edit reports, presentations, and documents for accuracy and professionalism. Maintaining confidentiality of sensitive company and client information is crucial. As the main point of contact between the CTO and other departments, the Executive Assistant ensures smooth communication and task coordination. This role requires strong organizational and multitasking abilities, with a focus on meeting deadlines.

Key Responsibilities:

  • Provide comprehensive administrative support to the CTO
  • Manage calendars and organize meetings
  • Prepare meeting materials and draft agendas
  • Take minutes and ensure follow-up on action items
  • Manage communications and respond to messages in a timely manner
  • Prepare, review, and edit reports, presentations, and documents
  • Maintain confidentiality of sensitive company and client information
  • Serve as the main point of contact between the CTO and other departments
  • Track and support key projects, ensuring deadlines are met
  • Oversee office tasks such as ordering supplies and maintaining an organized office environment

Requirements:

  • Bachelor's degree in Business Administration, Management, or related field (preferred)
  • 1-3 years of experience as an executive assistant
  • Strong experience in office administration and coordination
  • Proven ability to manage calendars and organize meetings
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities, with a focus on meeting deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools
