Job Title: Facility Operations Coordinator

Job Summary:

You are a highly organized and detail-oriented professional who excels in handling administrative responsibilities within a dynamic facilities management environment.

Key Responsibilities:

  • Manage calendars, tasks, and email correspondence with vendors, tenants, and internal stakeholders.
  • Handle calls from vendors and tenants, addressing their queries and concerns in a timely and professional manner.
  • Schedule appointments and follow up on work orders to ensure seamless operations.
  • Act as a point of contact between tenants, supervisors, and vendors, fostering strong relationships and resolving issues efficiently.
  • Improve current processes by creating SOPs and process documentation, enhancing operational efficiency.
  • Perform data entry into software from leases, maintaining accurate records and ensuring compliance.
  • Assist with tenant screening and draft leases, ensuring adherence to company policies and procedures.
  • Manage multiple projects and tasks across programs and functions, prioritizing deadlines and delivering results.
  • Monitor compliance issues and resolve them in collaboration with relevant parties, ensuring regulatory compliance.

Requirements:

  • At least 5 years of experience as a Property Manager or in a similar role, with a proven track record of success.
  • Proven experience in organizing and directing multiple projects and tasks, with excellent time management skills.
  • Familiarity with web-based project management tools and proficiency in word-processing software, spreadsheets, and CRM systems.
  • Excellent phone, email, and instant messaging communication skills, with the ability to build strong relationships with stakeholders.
