Property Operations Coordinator

We are seeking a detail-oriented and organized professional to support our commercial property management operations as a Property Operations Coordinator. This role requires experience in property administration, preferably in commercial settings, but residential experience will also be considered.

This is a behind-the-scenes position that involves managing communications via email, overseeing property operations, and assisting property managers with financial and administrative tasks.

Key Responsibilities:

  • Lease Administration: Review and prepare commercial lease abstracts for internal reference.
  • Certificate of Insurance (COI) Management: Track and maintain COIs for vendors and tenants.
  • Email Communications: Draft and send email communications and formal letters to tenants.
  • Rent Increase Tracking: Monitor annual rent increases and prepare notifications accordingly.
  • Work Order Coordination: Assist in scheduling and coordinating work orders for building engineers, ensuring timely completion.
  • Yardi Work Order Entry: Enter work orders into Yardi and follow up to ensure tenant requests are addressed professionally.
  • New Vendor Setup: Oversee the new vendor setup process in company systems.
  • Contract Preparation: Prepare contracts for third-party vendors.
  • Invoicing: Invoice coding for payables to ensure timely vendor payments.
  • Accounts Receivable Monitoring: Monitor monthly accounts receivable to track rent payments and outstanding balances.
  • Budget Preparation: Assist property managers in preparing annual operating budgets.
  • Capital Expenditure Projects: Gather bids and proposals for CapEx projects and non-CapEx repairs.
  • Tracking and Reporting: Utilize Excel and SharePoint for tracking and reporting tasks.
  • Maintenance Records: Maintain accurate records and assist with research and special projects as required.

This role offers a 100% remote opportunity to work full-time.

Requirements:

We are looking for a candidate with:

  • Experience: Property management experience required, preferably in commercial settings.
  • Software Proficiency: Experience using Yardi or similar property management software is a plus.
  • Organizational Skills: Strong organizational and multitasking abilities.
  • Communication Skills: Excellent written communication skills for tenant and vendor correspondence.
  • Technical Skills: Proficiency in Excel, SharePoint, and Microsoft Office Suite.
  • Problem-Solving: Ability to obtain bids, track expenses, and manage property maintenance requests efficiently.
