The role of a Client Care Coordinator is pivotal in ensuring seamless client care by efficiently managing and coordinating caregiver schedules to meet each individual client's needs.
Key Responsibilities:
- Plan and schedule caregivers based on client requirements, skills, and availability, anticipating potential staffing gaps.
- Adjust schedules for emergencies, last-minute absences, or urgent client needs.
- Communicate schedule changes to caregivers and clients, offering incentives for hard-to-fill shifts.
- Act as the primary point of contact for caregivers, handling their availability, assignments, and policy updates.
- Address client inquiries and assist with the onboarding process for new clients into the scheduling system.
- Maintain accurate records in the scheduling software, tracking caregiver availability and backup schedules.
- Resolve scheduling conflicts and caregiver disputes efficiently.
- Ensure timely invoicing and payment collection from clients.
- Manage accounts payable and verify caregiver timesheets for accurate payroll processing.
- Maintain up-to-date financial records in QuickBooks, performing regular audits and reconciliations.
Initial Tasks & Onboarding:
- Complete an onboarding process to familiarize yourself with company processes, scheduling software, and caregiver-client matching protocols.
- Shadow senior team members to understand workflow and client expectations.
- Begin managing lower-risk scheduling assignments under supervision.
- Develop knowledge of caregiver profiles, availability, and specific client care needs.
- Attend daily scheduling meetings and contribute to coverage solutions.
