About the Role:

The Administrative Assistant will support the Human Resources Department by facilitating candidate onboarding and working closely with the Department Head. This role involves handling confidential information with discretion and collaborating with cross-functional teams. It also offers opportunities for growth within the HR field.

Duties and Responsibilities:

  • Maintain and update spreadsheets, databases, and tracking tools to ensure accurate and up-to-date records

  • Source, proactively reach out to, and engage potential candidates through various channels

  • Coordinate and schedule interviews, job shadowing opportunities, onboarding activities, and training sessions

  • Handle inbound and outbound communications, including calls and emails, in a professional and timely manner

  • Collaborate with drivers, trainers, and other departments to effectively schedule and manage logistics for trips and sessions

  • Prepare, generate, and distribute regular and ad hoc reports to support departmental needs

  • Accurately enter data and monitor the progress of action items to ensure timely follow-up and completion

  • Provide general administrative support and assist with special projects or tasks as assigned

Minimum Requirements:

  • Exceptional attention to detail with the ability to accurately follow templates, cheat sheets, and step-by-step procedures

  • Consistently reliable and punctual, demonstrating preparedness for work and scheduled meetings

  • Proactive and self-driven, with a strong sense of initiative and accountability

  • Strong analytical and problem-solving skills to effectively address challenges and improve processes

  • Clear and professional communication skills, with timely responses to messages, emails, and inquiries

  • Excellent comprehension, research, and writing skills to support accurate documentation and reporting
    Proven ability to multitask and manage priorities effectively in a fast-paced, virtual work environment

  • Reliable access to a high-speed, stable internet connection

Other Qualifications:
  • Prior experience in administrative support, human resources, or a related field

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace

  • Ability to handle confidential and sensitive information with discretion and professionalism

  • Strong organizational and time management skills, with the ability to meet deadlines

  • Adaptability and flexibility to support shifting priorities and evolving business needs

  • Team-oriented mindset with the ability to work independently and collaboratively

  • Customer service experience or a client-focused approach is a plus

  • Experience working in a remote or hybrid environment preferred
