Responsibilities
  • Answer and route incoming calls; coordinate and relay messages efficiently
  • Manage company email inboxes and maintain timely, professional responses
  • Schedule appointments, meetings, and job timelines for clients and vendors
  • Act as a point of contact for clients, ensuring smooth communication and follow-up
  • Write and format reports, proposals, and client updates
  • Maintain organized digital filing systems for contracts, project documents, and correspondence
  • Create and enter invoices into the accounting system (QuickBooks experience strongly preferred)
  • Track project progress, update internal systems (e.g., CoConstruct), and provide status updates to the team
  • Assist with basic bookkeeping tasks, ensuring accuracy in financial records
  • Support leadership with miscellaneous administrative projects as needed
Qualifications
  • Bookkeeping experience strongly preferred; QuickBooks expertise is a plus
  • Proven administrative or executive assistant experience, ideally in a small business or construction-related setting
  • Strong organizational and multitasking abilities
  • Clear and professional verbal and written communication skills
  • Proficiency in Microsoft Office Suite and cloud-based collaboration tools
  • High attention to detail and accuracy in data entry and record-keeping
  • Comfortable working independently in a remote environment
  • Willingness to learn and adapt to new technologies and systems
Compensation & Benefits
  • Full-time, 40 hours/week
  • Competitive hourly pay at $8 to $12 per hour, depending on experience
  • Paid Time Off (PTO) after 12 months of employment
