Job Summary
The Executive Assistant provides high-level administrative support to executives by handling a wide range of tasks that ensure the smooth and efficient operation of the office. The role requires excellent organizational skills, discretion, and the ability to manage competing priorities while maintaining professionalism.
Key Responsibilities- Manage and maintain the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Prepare, review, and organize correspondence, reports, presentations, and other documents on behalf of the executive.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Screen phone calls, emails, and inquiries, and handle them as appropriate.
- Coordinate logistics for meetings, including preparing agendas, recording minutes, and ensuring follow-ups on action items.
- Handle confidential and sensitive information with the highest level of discretion.
- Assist in the preparation and tracking of budgets, expense reports, and reimbursements.
- Support the executive in managing key projects, deadlines, and deliverables.
- Facilitate communication across departments to ensure timely resolution of issues.
- Perform general administrative tasks such as filing, data management, and office supply coordination.
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent verbal and written communication skills.
- High level of discretion, integrity, and professionalism.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with digital collaboration tools (e.g., MS Teams, Zoom, Google Workspace).
- Ability to work independently with minimal supervision and adapt to changing priorities.
