Job Description
As an Executive Assistant, you'll be the right hand to senior leaders-coordinating schedules, managing communication, preparing reports, and driving projects that keep operations seamless. Your support ensures leaders can focus on growth, strategy, and delivering impact.

The Qualifications We Seek
- Bachelor's Degree in Management or related field
- At least 3 years of proven experience as an Executive Assistant
- Proven management role or similar experience
- Excellent written, verbal, and interpersonal communication skills
- Advanced Microsoft Office Suite proficiency; ability to adapt to new tools
- Strong attention to detail and accuracy in all tasks
- Positive, proactive, and team-oriented attitude
- Strong time management and prioritization skills
- Ability to adapt to changing priorities with problem-solving initiative
Your Daily Tasks
Administrative
- Act as point of contact among executives, clients, and partners.
- Prepare meeting materials, track action items, and maintain accurate documentation.
- Handle mail, correspondence, and filing with efficiency.
- Plan and organize division-wide events and coordinate with vendors.
- Draft, edit, and review company-wide or client-specific communications.
- Transcribe, format, edit, and transmit key business documents.
- Take ownership of initiatives assigned by the CEO or Executive Support Manager.
- Collaborate with executive team and managers on strategies and projects.
- Understand product offerings and coordinate with departments to ensure smooth operations.
- Uphold strict confidentiality of company matters.
Communication and Correspondence
- Screen executive communications and prioritize responses.
- Format memos, emails, presentations, and reports.
- Maintain trust and credibility by ensuring smooth correspondence between managers and stakeholders.
Travel and Calendar Management
- Build and organize schedules and meetings.
- Coordinate set-up and notifications for meetings.
- Book travel arrangements, including flights and accommodations.
- Maintain diaries and schedules of executives.
Reporting
- Prepare reports as requested by immediate managers.
- Evaluate strategies and recommend improvements.
- Maintain efficient filing systems.
Project Coordination and Management
- Perform special projects and ensure timely delivery.
- Manage multiple priorities within scope and budget.
Confidentiality & Other Responsibilities
- Maintain confidentiality of highly sensitive information.
- Perform additional tasks assigned by company representatives.
