As An HR Administrator, You Are Responsible For
- Employee Document Management
- Create and maintain standardised employee folder structures for every employee
- Migrate employee documents from Outlook, EFS systems, Employment Hero, and Definitiv platforms into a single consolidated filing system
- Organise and file historic interview notes for successful candidates within their employee folders
- Template Development and Maintenance
- Develop and maintain templates for recruitment and selection processes, including interview guides, phone screen questionnaires, verbal reference forms, and sourcing strategies
- Ensure all HR policies, procedures, and forms are rebranded according to current company guidelines and uploaded onto the company’s document management system
- Compliance and Auditing
- Assist in preparing and supporting internal and external HR audits post-system implementation
- Collaborate with the medical team to flag employees requiring medical clearance
- General Administration
- Provide ad-hoc HR administrative support as required by the HR team
- Maintain confidentiality and security of all employee records and sensitive information
- 2-5 years experience in a similar role, preferably in the mining and minerals, processing, oil & gas or heavy industries
- Strong organisational skills with a keen eye for detail
- Familiarity with HRIS software would be an advantage
- Good understanding of record keeping and audit processes
- Excellent communication and interpersonal skills
- Ability to work independently and collaboratively within a team
- Proficiency in Microsoft Office Suite, especially Outlook, Word, and Excel
- Experience in using SAP would be an advantage
