Job Summary:

We are seeking a dynamic and motivated individual to join our team as Office Support Staff. This entry-level position is perfect for fresh graduates or those looking to kick-start their careers in various industries. The Office Support Staff will play a crucial role in ensuring smooth operations within our office environment, providing essential support to various departments and contributing to the overall efficiency of our organization.

Responsibilities:

1. Administrative Assistance: Provide general administrative support such as data entry, filing, photocopying, and scanning documents.

2. Front Desk Duties: Greet visitors, answer incoming calls, and direct inquiries to the appropriate personnel.

3. Office Maintenance: Ensure the cleanliness and organization of the office space, including conference rooms and common areas.

4. Supply Management: Monitor and replenish office supplies, including stationery, pantry items, and other consumables.

5. Assist with Meetings: Prepare meeting rooms, set up equipment, and assist with scheduling appointments or meetings as needed.

6. Mail Handling: Sort and distribute incoming mail and packages, as well as prepare outgoing mail for delivery.

7. Data Management: Assist with maintaining and updating databases, spreadsheets, and other records as required.

8. Support Various Departments: Collaborate with different departments to fulfill their administrative needs and contribute to team projects.

9. Ad Hoc Tasks: Handle miscellaneous tasks and special projects as assigned by management to support the smooth functioning of the office.

Qualifications:

· High school diploma or equivalent; additional qualifications such as a certificate or diploma in office administration would be advantageous.

· Excellent communication skills, both written and verbal.

· Proficiency in basic computer applications such as Microsoft Office (Word, Excel, Outlook).

· Strong organizational and time management skills, with the ability to prioritize tasks effectively.

· Attention to detail and accuracy in performing administrative duties.

· Ability to work independently as well as part of a team in a fast-paced environment.

· Professional demeanor and a positive attitude toward assisting colleagues and visitors.

· Willingness to learn and adapt to new tasks and responsibilities as required.
