This role is responsible for performing advanced administrative, secretarial, and clerical functions as well as special projects. This role will also be responsible for maintaining confidentiality of the most sensitive and confidential corporate information.

As a fast-paced, entrepreneurial startup, we are seeking an Executive Assistant to support our CEO. This role is pivotal in optimizing our CEO's effectiveness by managing administrative tasks, enhancing communication, and ensuring smooth operations within our dynamic team.

A day the life - Get ready to think big, work smart and shine bright

  • Research projects and power point presentation building with full guidance given.
  • Oversee executive level calendars including coordinating, scheduling, planning meetings, appointments and conferences using google, zoom, and Asana; review and disposition email and printed mail. Compose correspondence and other materials as requested.
  • Take pdf information and put in excel form.
  • Book travel, order food, make reservations – all for Cravings events or employee personal events.
  • Appropriately maintain files, expense reports, and other forms
  • Research personal tasks – examples: day care, travel restaurants, best spas, or other
  • Ensure employees are prepared for meetings, especially for all executive level meetings; coordinate routine to large scale executive-level meetings and events, including department and division all hands meetings; recognition activities; interface with all levels of personnel, including officers, executives, senior management,
  • Research, recommend, and implement appropriate courses of action/best practices on administrative matters.
  • Collect data, analyze, draft, proofread, edit, and format documents, spreadsheets, and reports (including charts and tables); provide support for special projects or assignments; prepare agendas, monitor, track, and follow up on action items with department staff to ensure completion and commitment to deadlines.
  • Assistant is expected at all times to - support department executive and management as assigned; maintain strict confidentiality of sensitive and private information in a responsible manner; work independently and in a team environment; display excellent interpersonal skills and convey a positive and professional image; exercise initiative, discretion, and use good judgment; maintain a high level of attention to detail and quality of work; work effectively and accurately on diverse and concurrent assignments in an environment with frequent interruptions, changing priorities, and tight operating deadlines to carry out. administrative activities or processes from start to finish with all the necessary follow-through to ensure proper time management goals are met.

What we are looking for:

To be successful in this role you must...

  • 3 years of experience performing advanced administrative, secretarial, and clerical functions in a fast-moving startup environment.
  • 5 years of experience working and communicating with executive level officers and external third parties.
  • 3 years of experience managing executive-level calendars, including making travel arrangements and coordinating routine to executive-level meetings and events (e.g., setting-up conference calls, and preparing presentations and materials).
  • Experience using Asana.
  • Excellent interpersonal skills and ability to convey a positive and professional image.
  • Creative thinker

  • Can-do attitude, willing to speak up and challenge old ways of doing things.
  • Collaborative teamwork and leadership, partner to the leadership team
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
