The Administrative Services and Facilities Manager will oversee and coordinate the administrative support functions of the organization. This role is responsible for ensuring that our offices operate smoothly and effectively, and that the business accommodation is problem-free and safe, allowing employees to work under the best conditions. He/She will play a key role in supporting the work environment and culture of our organization and ensuring that we comply with all relevant regulations and standards.

Facilities Management

  • Plan, administer, and control budgets for work contracts, equipment, and supplies
  • Oversee and direct the maintenance and repair of machinery, equipment, and electrical and mechanical systems ensuring that equipment and supplies are well maintained and meet health and safety standards
  • Monitor facilities to ensure that it remains safe, secure, and well-maintained
  • Oversee construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, and security standards, and comply with government regulations
  • Inspect buildings' structures: Determining the need for repairs and renovations by assessing the condition of the building
  • Allocate and manage facility space: Ensuring that office space is used efficiently.
  • Coordinate intra-office moves: Handling relocations within the organization.
  • Review utilities consumption: Strive to minimize costs related to utilities
  • Control activities: Manage parking space allocation, waste disposal, building security, and other related tasks
  • Maintain financial and non-financial records: Keep accurate records related to facilities management
  • Perform analysis and forecast: Assess future needs and plan accordingly
  • Participate in architectural and engineering planning and design, including space and installation management. Plan facility layouts or designs.

Administrative Services

  • Plan, direct, and coordinate the activities of various administrative and supportive services, such as canteen services, shuttle services, liaison (messengerial) support
  • Allocate and monitor inventory of office, water, production supplies: Ensure adequate supplies while adhering to budgets
  • Issuance and monitor of assignment of vehicles and other work tools: Ensure proper turn-over and employee accountability
  • Administer the conduct of fire, earthquake, and other required safety drills
  • Responsible for promoting occupational health and safety within the organization: In-charge of developing, implementing, administering, and establishing programs in compliance with DOLE-BWC Occupational Safety and Health Standards. Spearhead the Safety Committee established by the Company.
  • Ensure operations adhere to policies and regulations: Staying compliant with organizational changes and legal requirements (e.g. OSHS, GMP, GDP, GWP)
  • Facilitate processing of permits necessary for business operations

People Management

  • Supervise, train, and evaluate the performance of administrative and security staff: This includes cleaning staff, maintenance technicians, security personnel, and external contractors
  • Hire, onboard personnel in administrative positions as needed
  • Provide leadership and guidance to administrative staff and foster a positive work environment and culture

QUALIFICATIONS

  • Bachelor's degree in Facility Management, Engineering, Business Administration, or related field.
  • Proven experience in both facilities management and administration management
  • In-depth understanding of office management procedures, departmental policies, and legal regulations
  • Certification as Safety Officer (SO 3 level, preferred)
  • Good analytical and thinking skills
  • Good communication and people skills
  • Ability to manage subordinate staff and meet project goals within approved budgets.
