Work Activities and Responsibilities

•           Plans and schedules meetings and appointments, coordinates conference and manages corporate events;

•           Ensures that the materials for meetings are received on a timely basis;

•           Ensures that the invitee list includes all relevant participants and arranges meeting space, audio-visual equipment and other tools required

•           Prepares, edits and distributes correspondence, reports, presentations and any other forms of communication;

•           Coordinates with other LTGC Officers/Heads on corporate reports and other requirements;

•           Attends Senior Management meetings to take minutes of the meeting;

•           Fields incoming correspondence (phone calls, faxes, email), serves as all-around gatekeeper to the President’s office;

•           Manages travel arrangements and expenses by making travel arrangements e.g., airfare, hotel and coordinates logistics/itinerary;

•           Organizes and maintains files and records;

•           Maintains business contacts in database; and

•           Provides full administrative support to the President.

Other Tasks

  • Performs other tasks that may be assigned by the President depending on the exigencies of the organization. 

     

    Required Knowledge, skills, and qualifications

    •           Must have at least an educational attainment equivalent to a college/bachelor’s degree in any business-related field.

    •           At least 3-5 years of work experience as an Executive Assistant.

    •           Must have good oral and written communication skills;

    •           Must have strong organization and records management skills

    •           Must be detail-oriented;

    •           Ability to handle confidential matters.
