Main Responsibilities:

Administrative Support:

  • Manage and maintain executive schedules, including scheduling appointments, meetings, and travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and visitors, determining the action required.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate executive team meetings, agendas, and materials, and ensure follow-up on action items.
  • Handle confidential and sensitive information with discretion and professionalism.

Information Management:

  • Conduct research and compile data to prepare reports and presentations.
  • Organize and maintain executive files and records, ensuring accuracy and accessibility.
  • Assist in the preparation of reports, memos, and presentations, including formatting, proofreading, and editing.

Communication Liaison:

  • Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the executive team.
  • Coordinate communication between executives and various departments, clients, and external partners.
  • Draft, review, and distribute communications on behalf of executives, ensuring accuracy and professionalism.

Project Coordination:

  • Assist in the planning and execution of special projects and events, including logistics, coordination, and follow-up.
  • Track and monitor project deadlines, deliverables, and progress.
  • Provide support for ad-hoc projects and initiatives as needed.

Office Management:

  • Oversee office operations and ensure efficient workflow.
  • Order and maintain office supplies and equipment, and coordinate office maintenance and repairs.
  • Assist in the onboarding of new staff and provide administrative support to other team members as needed.

Qualifications:

  • Fresh graduates are welcome to apply
  • Excellent English (and local) communication skills, both oral and written.
  • Proficiency in Mandarin Chinese is a bonus.
  • Ability to understand and speak Mandarin is an asset
  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Pleasing personality, confident, friendly and approachable.
  • Must be able to work and learn in a fast-paced setting
  • Willing to work in shifting schedule and weekends if needed
  • Must be willing to work fully onsite in Muntinlupa.
