Executive Assistant

Main Responsibilities:
Administrative Support:
- Manage and maintain executive schedules, including scheduling appointments, meetings, and travel arrangements.
- Screen and prioritize incoming communications, including emails, phone calls, and visitors, determining the action required.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate executive team meetings, agendas, and materials, and ensure follow-up on action items.
- Handle confidential and sensitive information with discretion and professionalism.
Information Management:
- Conduct research and compile data to prepare reports and presentations.
- Organize and maintain executive files and records, ensuring accuracy and accessibility.
- Assist in the preparation of reports, memos, and presentations, including formatting, proofreading, and editing.
Communication Liaison:
- Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the executive team.
- Coordinate communication between executives and various departments, clients, and external partners.
- Draft, review, and distribute communications on behalf of executives, ensuring accuracy and professionalism.
Project Coordination:
- Assist in the planning and execution of special projects and events, including logistics, coordination, and follow-up.
- Track and monitor project deadlines, deliverables, and progress.
- Provide support for ad-hoc projects and initiatives as needed.
Office Management:
- Oversee office operations and ensure efficient workflow.
- Order and maintain office supplies and equipment, and coordinate office maintenance and repairs.
- Assist in the onboarding of new staff and provide administrative support to other team members as needed.
Qualifications:
- Fresh graduates are welcome to apply
- Excellent English (and local) communication skills, both oral and written.
- Proficiency in Mandarin Chinese is a bonus.
- Ability to understand and speak Mandarin is an asset
- Bachelor's degree in Business Administration, Communications, or a related field.
- Pleasing personality, confident, friendly and approachable.
- Must be able to work and learn in a fast-paced setting
- Willing to work in shifting schedule and weekends if needed
- Must be willing to work fully onsite in Muntinlupa.
