
Business Process Documentation Officer

Job Summary:
The Business Process Documentation Officer is responsible for preparing, controlling, and maintaining organizational documents related to operational policies and procedures. The role ensures that all documents are accurate, updated, consistent, and compliant with company standards. The position also supports process documentation, project management, and performance monitoring to help the IT & Operational Excellence Department drive efficiency, ensure compliance, and promote continuous improvement.
Document Control
- Prepare and maintain the Document Control Policy (templates, numbering, revisions, routing, copy handling, lost document protocols).
- Maintain the master list of Policies and Procedures Manuals.
- Maintain signed copies (original and revised) of policies and procedures.
Process Review & Documentation
- Review existing processes and conduct interviews with process owners to update documentation.
- Provide feedback on inconsistencies and gaps in documented processes and recommend enhancements to improve efficiency and accuracy.
- Prepare process flowcharts and procedure drafts.
Project Documentation & Monitoring
- Prepare and maintain listing of all projects under IT & Operational Excellence.
- Monitor project progress and escalate deviations to management.
- Maintain updated project documentation (plans, reports, minutes)
Performance Reporting
- Prepare and submit accomplishment and status reports.
- Assist in identifying and evaluating KPIs per section.
- Maintain accurate KPI performance records.
Qualifications
- Bachelor's degree in Information Technology, Business Administration, Industrial Engineering, Office Administration, or a related field.
- Minimum of 1–2 years of experience in document control, records management, quality systems, or internal auditing functions.
- Very detail-oriented, with strong organizational and analytical skills.
- Ability to work independently with minimal supervision.
- Strong written and verbal communication skills, with the ability to coordinate effectively with team members and process owners.
- Exposure to ISO standards implementation, Project Mangement, LSS Process Improvement or equivalent activities is an advantage.
- Willing to work at Manggahan, Pasig City.
