We are looking for an Accounts and Administration Officer who will deliver accurate, audit-ready strata accounts administration, including invoicing, receipting, s110 processing, settlements, reconciliation, and creditor management. Maintain clean and compliant records in Property IQ, manage the shared Accounts inbox, and ensure smooth hand-offs to onshore teams.
Qualifications and Attributes
- At least 2 years of experience in strata management or property management, or in a similar role
- Any relevant bachelor's degree
- Experience in strata property management in maintenance and accounts is required
- Comfortable with night shift and after-hours roster
- Experience in accounts receivable or strata accounts preferred
- Excellent written and verbal communication skills, with the ability to interact professionally with clients and residents
Key duties
- Monitor and triage the Accounts inbox, create tasks in Property IQ, and tag correct schemes and lots.
- Raise invoices, send statements, process receipts, match payments, and resolve variances.
- Prepare, issue, and record Section 110 certificates and fees under WA legislation.
- Manage settlements end to end including reconciliation, owner updates, and hand-off to the Community Services Manager.
- Add and update creditor records, verify ABNs, GST, bank details, licences, and insurances.
- Raise on-charges to owners, builders, and developers, cross-check against work orders and approvals.
- Prepare daily reconciliations, banking, arrears updates, and nightly dashboards.
- Keep system records clean: filing, naming conventions, data hygiene, retention rules, and periodic audits.
- Handle after-hours calls by roster, log matters, and issue an 8:30 am summary.
- Maintain controls, approval limits, checklists, and escalate any suspected irregularities.
