Administration and Compliance Officer

Job Description:

Regulatory Compliance:

  • Complete internal file audits.
  • Report outcomes of internal file audits to the Operations Manager.
  • Compile monthly audit outcomes report.
  • Monitor changes to regulatory requirements.

Finance Administration:

  • Submit and accurately file RCTIs for commission reconciliations.
  • Submit invoices for payment.
  • Create ad hoc invoices in Xero.
  • Calculate commissions payable to staff based on reconciliation of commissions claimed and received.
  • Communicate with partner BDMs and account teams regarding commission discrepancies.
  • Report monthly clawbacks and check accuracy.
  • Create 6-monthly performance appraisal documentation.
  • Complete performance appraisal documentation after meetings held.

General Administration:

  • Start of month activities:
  • Create new month's commissions spreadsheet.
  • Update commission rates based on previous month's performance.
  • Create new month's filing systems.
  • Extract data from previous month and enter into relevant spreadsheets.
  • Report absenteeism, reviews, and target deals.
  • Administration for onboarding of new staff members:
  • Update phone time reporting spreadsheet.
  • Create contract, letter of offer, and accreditation documents.
  • Arrange Ambition account, 3CX line, and accreditations with Fintelligence.
  • Update internal systems to include new staff member.
  • Diarise key employee dates.

Qualifications:

  • Bachelor's Degree in Accounting, Finance, Business Administration, or any related field.
  • Proven experience in administration, compliance, or finance-related roles.
  • Experience in regulatory compliance or internal auditing.
  • Experience with financial reconciliation and invoice processing.
  • Proficiency in MS Office Suite.
  • Knowledge of Xero Accounting Software.
  • Familiarity with compliance monitoring systems and document management tools.
  • Familiarity with employee onboarding and record-keeping processes.
  • Strong attention to detail and accuracy in auditing, reconciliation, and documentation.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
