Under the supervision of the VP-Executive Office and close coordination with the Assistant Manager and the Accounting Officer – Executive Office, the Administrative Assistant – Property Services is responsible for providing efficient and effective administrative support to the Executive Office primarily on property-related matters.

DUTIES & RESPONSIBILITIES:

  • Monitoring and updating of inventory of properties and related assets.
  • Ensure payables on properties are paid on time.
  • Ensure strict compliance of the property with all government requirements.
  • Monitor the programs for the properties relating to improvements, provide recommendations as needed.
  • Review lease agreements.
  • Monitor the lease of properties and compliance to lease agreements.
  • Collect and enforce the collection of all rentals and other charges due from Tenant.
  • Maintain accurate records of all funds received and disbursed in connection with the management of the property(ies).
  • Provide Monthly Report on collection and expenses.
  • Liaise with third party relating to the properties.
  • Perform budget preparation and re-forecasting as necessary
  • Prepare Report on collection and expenses.
  • Inspect properties to ensure the highest standards are maintained, evaluate maintenance grounds and housekeeping operations.
  • Records management: Maintains department records, sets up and manages both electronic and paper filing systems, takes steps to ensure department compliance with all applicable record-keeping requirements.
  • Protects and keeps company/department information in strict confidence.
  • Ensures compliance to company rules and regulations.

JOB REQUIREMENTS:

  • Graduate of any four (4) year course.
  • With at least three (3) years solid work experience related to property management from a property management or a property leasing company.
  • Background on contracts relating to properties.
  • Experience in BPO industry is an advantage.
  • Can work onsite.
