Sales Administrative Assistant

Job Summary:
The Sales Administrative Assistant provides administrative and operational support to the Sales and Marketing Department. This role ensures smooth coordination between clients, account executives, and recruitment team. The sales admin helps manage documentation, prepares proposals and contracts, tracks client transactions, and maintains accurate sales records to support FMI manpower placement and client servicing functions.
Key Responsibilities:
1. Administrative and Documentation Support
- Assist preparations and process client proposals, quotations, contracts, and service agreements.
- Maintain organized files for client records, billing, and project documentation.
- Track and update sales leads, client inquiries, and follow-ups in the CRM or database.
- Assist in preparing presentations, reports, and marketing materials.
2. Coordination and Communication
- Serve as a liaison between clients, recruitment, and operations teams regarding manpower requests and deployment schedules.
- Coordinate with HR and Operations for manpower pooling, deployment, and replacement requests.
- Ensure timely communication of client requirements, updates, and feedback to concerned departments.
3. Sales and Client Support
- Assist in managing client accounts and monitoring contract renewals or expirations.
- Prepare weekly and monthly sales performance reports for management.
- Support the Sales Team in organizing client meetings, orientations, and site visits.
- Handle initial client inquiries and direct them to appropriate account executives.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, Management, or a related field.
- At least 1–2 years of experience in sales administration, preferably in a manpower agency, recruitment firm, or service industry.
- Strong organizational and communication skills.
- Proficient in MS Office (Word, Excel, PowerPoint) and CRM systems.
- Detail-oriented, proactive, and capable of multitasking in a fast-paced environment.
