The Admin and Procurement Manager is responsible for overseeing the sourcing and purchasing of goods and services, managing vendor relations, and ensuring efficient administrative support for office operations. The role ensures that procurement and administrative processes are carried out in a cost-effective and timely manner while supporting various operational needs of the organization.

Key Responsibilities:

  • Procurement

    • Source and evaluate potential suppliers based on price, quality, and delivery speed.

    • Prepare and process Purchase Orders (PO) for approved requisitions.

    • Ensure goods and services acquired are within budget and aligned with the client contract, including the Scope of Work and Third Party Cost.

    • Negotiate pricing and terms with external vendors to secure favorable contracts.

    • Conduct ocular inspections of supplier locations or service sites when necessary.

    • Maintain strong working relationships with suppliers and service providers.

    • Maintain and regularly update the procurement database.

  • Administration

    • Monitor and replenish office supplies and consumables.

    • Maintain an accurate inventory of office equipment and supplies.

    • Ensure immediate resolution of office-related issues or facility concerns.

    • Assist in construction-related activities and coordination within the office premises.

    • Coordinate with pest control.

  • Permits and Documentation

    • Prepare necessary documents such as gate passes, pull-out forms, and work permits.

    • Handle the renewal of business permits and other government-related documents.

  • Other Tasks:

    • Improve and streamline admin and procurement processes.

    • Perform other administrative duties and tasks as assigned by the supervisor.
