We are looking for an Administrative Assistant to join our growing team. As an Administrative Assistant, you will be responsible for ensuring the operational efficiency of the office through effective administration, regulatory compliance, vendor coordination, health and safety management, and front desk support. This is a key role that supports both day-to-day operations and ensures adherence to compliance and regulatory standards.

Key Responsibilities

  1. Office Administration & Facilities Management: Oversee office maintenance, supervise outsourced services, manage office supply inventory, and ensure workspaces are well-maintained and equipped.

  2. Reception and Front Desk Support: Greet visitors, manage calls and correspondence, maintain logs, and ensure a professional front desk experience.

  3. Purchasing & Vendor Coordination: Source and manage vendors, process purchase orders, track deliveries, and maintain procurement records.

  4. Permits, Licenses & Regulatory Compliance: Handle permit applications/renewals, liaise with government offices, manage compliance documentation, and act as ISO Coordinator.

  5. Health, Safety & Environment (HSE): Serve as Safety Officer, implement OSH-compliant safety protocols, conduct drills, and maintain safety records.

  6. Travel and Itinerary Management: Arrange travel bookings, prepare itineraries, and ensure cost-effective and policy-compliant arrangements.

  7. Cross-Departmental Support & Reporting: Assist internal teams administratively, prepare reports and checklists, and support various special projects.

  8. Other Duties: Perform other assigned tasks to support overall company operations.

Qualifications

  1. Education: Bachelor's degree in office administration, Business Management, Public Administration, or a related field.

  2. Experience: 2–4 years of experience in a similar administrative or compliance-focused role.

  3. Technical Skills: Knowledge of ISO certification processes, regulatory compliance, MS Office proficiency, and office systems management.

  4. Soft Skills: Strong organizational abilities, attention to detail, multitasking capability, and effective communication skills.

  5. Language: Strong command of written and verbal English.
