Job Summary

The Administrative Assistant will support the administrative operations of the clinic, ensuring the smooth and efficient handling of documents, reports, and clinic amenities. This role will involve close collaboration with the Administrative Director, and Clinic Manager assisting in various tasks to maintain a high level of organization and productivity.

Key Responsibilities

  • File Management: Organize and maintain both digital and physical files for clinic documents, ensuring easy access and security.
  • Data Entry & Reporting: Accurately encode clinic reports into computer systems, maintaining confidentiality and data integrity.
  • Clinic Maintenance Oversight: Regularly check clinic amenities, supplies, and equipment for proper functionality, coordinating repairs or replacements as needed.
  • Administrative Support: Assist the Administrative Director in completing various tasks and projects, ensuring adherence to clinic policies and procedures.
  • Appointment Coordination: Help with scheduling and coordinating appointments as needed, working with other team members to ensure a seamless experience for clients.
  • Communication: Serve as a point of contact for internal and eternal communication, relaying messages and information between departments and staff.

Qualifications

  • Education: High school diploma or equivalent; additional administrative or secretarial training is a plus.
  • Experience: Previous experience as an administrative assistant, preferably in a healthcare or clinic setting.
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook) and google sheets. Basic computer operations.
  • Communication Skills: Strong verbal and written communication skills, with attention to detail and accuracy.
  • Organizational Skills: Excellent organizational abilities with a proactive approach to problem-solving.
  • Interpersonal Skills: Ability to work effectively as part of a team, maintain confidentiality, and provide a professional demeanor in client interactions.
