Overview:

We're looking for a Senior Human Resources & Administrative Officer to support the coordination and implementation of HR activities and new office in Makati City, Philippines. This role will work closely with the Regional HR Manager and local operations teams to ensure smooth execution of HR functions, including payroll processing, government reporting, benefits administration, and employee support. The ideal candidate is organized, detail-oriented, and experienced in handling HR and administrative tasks in compliance with local labor laws and statutory obligations. He/she must be able to work in the Makati area.

Essential Job Functions:

Senior Human Resources & Administrative Officer is responsible for supporting the day-to-day HR operations in the Philippines and ensuring that all HR-related compliance, payroll, and employee support processes run smoothly.

  • Support implementation of HR policies, procedures, and programs locally.
  • Coordinate HR administrative processes and documentation.
  • Facilitate internal communication and employee queries on HR matters.
  • Maintain accurate employee records and HR databases.

Key Responsibilities:

  • Coordinate onshore bi-monthly payroll, ensuring timely and accurate salary disbursements.
  • Manage statutory compliance with government agencies such as SSS, PhilHealth, PAG-IBIG, DOLE, and BIR.
  • Coordinate with all relevant parties regarding the employment visa and work permit applications of expatriates in the Philippines.
  • Oversee employee benefits administration, enrollment, and government reporting.
  • Support recruitment efforts, including job postings, scheduling interviews, and onboarding new hires.
  • Assist with preparation and updating of employment contracts, certificates, and HR templates.
  • Maintain and update employee files, leave records, and HR documentation in compliance with local laws.
  • Support performance review and evaluation documentation processes.
  • Coordinate with third-party service providers (e.g., payroll agencies, benefits brokers) as needed.
  • Provide administrative support for employee engagement, training sessions, and company events.
  • Help implement workplace policies and practices aligned with company values and legal requirements.
  • Support the regional HR Manager with other ad-hoc HR tasks and reporting.

Additional Office Administration Responsibilities:

  • Oversee day-to-day office operations to ensure a clean, safe, and efficient work environment.
  • Manage office supplies and inventory, including purchasing and vendor coordination.
  • Handle hotel and accommodation bookings for business travelers and guests.
  • Coordinate domestic and international travel arrangements, including flight bookings, visa applications, and transportation.
  • Liaise with building management and facility service providers (e.g., cleaners, security, maintenance).
  • Support office budgeting, invoice processing, and petty cash management.
  • Maintain records of company assets, office equipment, and maintenance schedules.
  • Provide administrative support for visitor arrangements, meeting room bookings, and company functions.
  • Act as the first point of contact for general office inquiries and correspondence.

Requirements:

  • Bachelor's degree in human resources, Business Administration, or a related field.
  • Minimum of 5 years' experience in HR coordination or administrative roles, preferably in an international or regional company.
  • Familiarity with Philippine labor law, payroll processing, and government reporting systems.
  • Strong organizational and communication skills.
  • High attention to detail and ability to manage confidential information.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and experience with HRIS is an advantage.
  • Fluent in English and Filipino.
  • Be Able to work in Makati City.
  • Special consideration will be given to candidates who are able to commence work with us immediately.
