JOB SUMMARY

The Giver Services Coordinator reports to the Sr. Due Diligence and Compliance Specialist and provides administrative, data, and operational support to the Giver Services Team at TrustBridge Global Foundation. This position is responsible for ensuring the accuracy and integrity of data across CRM and storage systems, supporting global charity due diligence efforts, with a specific emphasis on Australian charity administration, and providing direct coordination assistance to senior Giver Services leaders.

  • Ensure TrustBridge's giver and charity clients receive exceptional service, marked by efficiency, responsiveness, and professionalism.
  • Support the global charity due diligence process by assisting in vetting, documentation, and compliance tracking, particularly within the Australia administration team.
  • Maintain clean, accurate, and synchronized data across all CRM and shared data platforms, serving as the organizational data steward for the Giver Services function.
  • Design and manage standardized forms, documents, and workflows for the Network's onboarding, application, and due diligence processes.
  • Anticipate and address administrative needs for Giver Services leadership, ensuring operational continuity and a high level of internal collaboration.
  • Contribute to a Christ-centered work environment that reflects integrity, care, and cultural sensitivity.

KEY RESPONSIBILITIES

Administrative & Operational Support

  • Provide daily administrative support to the Giver Services Managers, Director, and SVP of Operations.
  • Schedule and coordinate internal meetings, charity reviews, and cross-team collaboration sessions.
  • Maintain organized systems for digital and physical filing, document tracking, and team correspondence.
  • Assist in project coordination, workflow optimization, and special assignments related to the Giver Services and overall Operations Department. This includes monitoring and maintaining organizational info email boxes.
  • Prepare reports, summaries, and data insights for leadership as requested.

Due Diligence Support (Global with Australian Emphasis)

  • Support the Senior Due Diligence and Compliance Specialist in charity vetting, documentation, and follow-up processes.
  • Manage incoming charity applications and ensure all required forms, certifications, and compliance records are obtained.
  • Track review timelines and maintain due diligence logs for accuracy and accountability.
  • Coordinate with the Australian charity administration team to ensure alignment with local regulatory and TrustBridge standards.
  • Maintain strict confidentiality and accuracy in handling sensitive organizational and charity data.

Data Stewardship and Systems Management

  • Serve as the primary data steward for Giver Services.
  • Design, implement, and manage processes to maintain accurate and current data across all CRM systems (e.g., NetSuite) and cloud storage platforms.
  • Monitor data integrity and create regular reports on completeness, accuracy, and compliance.
  • Collaborate with IT and operations teams to improve data workflows and ensure consistency across systems.

Document and Form Management

  • Develop and maintain standardized forms, templates, and documentation for charity applications and giver onboarding.
  • Manage version control, accessibility, and approval workflows across departments.
  • Support the design and rollout of improved application and approval forms for the TrustBridge Global Network.

EDUCATION, TRAINING, AND EXPERIENCE

  • Bachelor's degree in Business Administration, Nonprofit Management, or related field (or equivalent experience).
  • Minimum 2 years of experience in administrative, data, or compliance coordination roles.
  • Strong organizational, analytical, and detail-oriented skills.
  • Proficiency in Microsoft Office, cloud-based data systems, and CRM tools (NetSuite experience a plus).  Experience in data management, document control, or process improvement.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Cross-cultural competency and sensitivity when engaging with global network members and charities.
  • Ability to prioritize competing tasks, adapt to change, and operate effectively in a virtual environment.

WORK ENVIRONMENT AND MENTAL REQUIREMENTS

  • Regular workdays run from roughly 1600 – 0100 (PH Time) to maximize the overlap with European and US Eastern Time work hours (time spent outside regular work hours for events and event preparations will be offset against regular workdays)

  • Willingness to work more than 8 hours per day, as needed; ability to handle pressure during peak periods during the year, availability to handle issues outside of normal working hours
