The Sales Administrator supports the sales team by handling administrative, clerical, and customer service tasks. This role ensures smooth sales operations, accurate order processing, and effective coordination between sales, customers, and internal departments. The Sales Administrator plays a key role in maintaining sales records, preparing reports, and ensuring customer satisfaction.
Key ResponsibilitiesSales Support & Administration
- Prepare and process sales orders, quotations, invoices, and delivery documents.
- Maintain accurate and up-to-date customer records, price lists, and product information.
- Assist the sales team with scheduling meetings, preparing presentations, and coordinating sales activities.
- Update CRM systems and sales databases regularly.
Customer Service
- Respond to customer inquiries via email, phone, or chat.
- Provide information on products, pricing, order status, and delivery schedules.
- Handle complaints or issues professionally and escalate unresolved matters to the appropriate team.
Coordination & Communication
- Liaise with warehouse, logistics, and finance teams to ensure on-time deliveries and proper documentation.
- Coordinate with suppliers or external partners for product availability and shipment status.
- Support sales events, promotions, and marketing activities.
Data Management & Reporting
- Prepare sales reports, forecasts, and performance dashboards.
- Monitor sales metrics, customer accounts, and pending orders.
- Ensure proper filing and maintenance of sales documents and records.
Required Skills & Qualifications
- Proven experience as a Sales Administrator, Sales Coordinator, or similar role.
- Strong knowledge of sales processes and documentation.
- Proficiency in MS Office (Excel, Word, PowerPoint) and CRM software.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- High attention to detail and accuracy.
- Ability to work under pressure and meet deadlines.
Preferred Qualifications
- Diploma or bachelor's degree in Business Administration, Marketing, or related field.
- Experience in customer service or administrative roles.
