The Site Admin Assistant is responsible for managing front desk operations and providing administrative support to the Site Admin and the Sales Team. This role is critical to ensuring efficient communication, smooth coordination with clients, and organized support for financial, vehicle, and boat management. The ideal candidate is professional, detail-oriented, and proactive in assisting with daily site operations.

Key Responsibilities:

1. Front Desk & Client Support

  • Welcome and assist clients, brokers, and site visitors professionally.
  • Handle phone calls, email inquiries, and walk-ins; provide information or direct to appropriate personnel.
  • Schedule client meetings, site tours, and assist in organizing lot viewings (by land or by boat).
  • Maintain a log of client visits (separate for broker's and walk-ins/VIPS) and document client inquiries and feedback.
  • Communicate with Discovery Samal and facilitate privilege card and other lot owner concerns

2. Administrative Support

  • Maintain and organize client files, contracts, maps, and lot documents—both digital and physical.
  • Assist in the preparation of lot availability charts, brochures, price lists, and other marketing materials.
  • Support the coordination of site activities, meetings, and site visits. Request/Order/Purchase office and cleaning supplies for Sales Lounge.

3. Finance Assistance

  • Assist in the preparation of expense reports and invoice tracking.
  • Support data entry related to accounts payable under the Site Admin's supervision.
  • Handle reimbursements and monitor daily expenses for site operations.

4. Vehicle & Boat

  • Coordination Maintain daily logs for company vehicles and boats (usage, fuel, maintenance).
  • Schedule and coordinate transport for clients or staff to and from the site. Monitor the condition and cleanliness of company vehicles and boats.
  • Assist in booking preventive maintenance or repairs and reporting any vehicle/boat issues to the Site Admin.

5. Office & Site Organization

  • Ensure that the reception and office areas are clean, organized, and stocked with necessary supplies.
  • Assist with general office duties such as photocopying, scanning, and filing.
  • Support the Site Admin in site readiness, including prepping materials for client visits or events.

Qualifications & Skills:

  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Strong verbal and written communication skills.
  • Basic knowledge of financial recording. Proficient in Microsoft Office (Excel, Word, Outlook).
  • Good organizational and multitasking abilities.
  • Trustworthy, proactive, and service-oriented.
  • Experience in a real estate, hospitality, or property sales setting.
  • Familiarity with vehicle or boat management is an advantage.
  • Knowledge of sales or reservation tracking systems is a plus.

Working Hours: Monday to Saturday, 8:00 AM - 5:00 PM (with flexibility depending on site activity)

Job Type: Permanent

Pay: Php18, Php20,000.00 per month
