We are seeking a highly organized and detail-oriented Executive Assistant / Controller to support the Owner and leadership team with both executive administrative duties and financial management responsibilities.
This hybrid role is ideal for someone who thrives in a dynamic, fast-paced environment and has a strong background in both office operations and accounting.
Key Responsibilities
Executive Assistant Duties:
- Serve as the right hand to the Owner, managing calendars, appointments, and travel arrangements.
- Handle correspondence, meeting prep, document drafting, and internal communication on behalf of leadership.
- Organize and maintain company files, business licenses, and compliance records.
- Coordinate vendor contracts, inventory orders, and special event logistics.
- Act as a liaison between the Owner and staff, vendors, or external stakeholders.
Controller Duties:
- Oversee daily financial transactions including A/P, A/R, bank reconciliations, and expense tracking.
- Maintain and update budgets, forecasts, and financial reporting dashboards.
- Process payroll and ensure accuracy in employee compensation, benefits, and tax filings.
- Collaborate with the CPA/bookkeeper on monthly closes, annual tax prep, and financial compliance.
- Review and streamline internal controls and spending policies.
Qualifications
- Proven experience in executive administration and financial/bookkeeping roles (3+ years preferred).
- Proficiency in accounting software (QuickBooks Online preferred) and Excel/Google Sheets.
- Strong organizational, written, and verbal communication skills.
- Ability to manage sensitive information with discretion.
- Self-starter with the ability to anticipate needs and solve problems proactively.
Preferred Skills
- Familiarity with retail, hospitality, or small business operations.
- Experience managing POS systems, inventory software, or HR/payroll tools.
- Basic understanding of local/state tax and labor law compliance.
- A passion for supporting small business growth and operational excellence.
