About Us

We are seeking a detail-oriented, proactive, and highly organized Executive Assistant to provide high-level support to our executive leadership team.

Position Summary

The Executive Assistant will be responsible for managing schedules, communications, and operational tasks to ensure executives can focus on strategic priorities. This role requires exceptional time management skills, discretion, and the ability to anticipate needs in a fast-paced environment.

Key Responsibilities

  • Manage executive calendars, schedule meetings, and coordinate travel arrangements (domestic and international)
  • Handle confidential information with the utmost discretion
  • Draft, proofread, and manage correspondence, reports, and presentations
  • Organize and maintain digital and physical files for efficient retrieval
  • Prepare agendas, meeting notes, and follow-up action lists
  • Conduct research, compile data, and prepare briefing materials for decision-making
  • Liaise between executives, internal teams, and external stakeholders
  • Assist with Social Media Management and Lead Generation Team
  • Monitor and prioritize incoming communications, including email and phone calls
  • Track projects and deadlines to ensure timely completion
  • Assist with personal tasks and errands as needed (within agreed boundaries)

Qualifications & Skills

  • Bachelor's degree preferred; relevant work experience may be considered in lieu of a degree
  • Minimum 5 years of experience as an Executive Assistant, Administrative Officer, or similar role (experience with US or international executives is a plus)
  • Excellent written and verbal communication skills in English
  • Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello, ClickUp)
  • Strong organizational skills and attention to detail
  • Ability to work independently, take initiative, and solve problems proactively
  • High level of professionalism, integrity, and confidentiality
  • Comfortable working in multiple time zones, including US hours when needed

Work Schedule

  • Full-time, 40 hours per week
  • Flexibility to adjust hours for meetings with international teams
