The Afterhours Lead Capture Representative is responsible for receiving inbound calls, voicemails, and web inquiries outside regular business hours. The role focuses on accurately capturing and documenting caller information, interest level, and product needs to generate qualified leads for the Sales Team to contact during business hours.
This position ensures that no potential lead is missed afterhours and that all inquiries are handled professionally and promptly.
Key ResponsibilitiesInbound Handling
Answer and log inbound calls, voicemails, and messages received afterhours.
Gather essential caller information (name, contact number, email, and interest type).
Provide brief, accurate responses to general inquiries following the approved Inogen script.
Lead Creation
Accurately enter caller details and inquiry information into the CRM or designated lead capture form.
Tag leads appropriately (e.g., new lead, product interest, callback request).
Ensure leads are complete and ready for Sales Team follow-up.
Documentation & Handover
Maintain up-to-date call logs and lead tracking sheets.
Send end-of-shift summary or update the tracker for the Sales or Intake Team's reference.
Escalate urgent messages (e.g., existing patient concerns or emergencies) per escalation protocol.
Quality & Compliance
Maintain a professional, empathetic, and helpful tone in all interactions.
Protect sensitive information and comply with HIPAA and Inogen privacy policies.
Follow scripting, quality standards, and documentation accuracy expectations.
- At least 2 years in college or equivalent experience.
- Customer service or call-handling experience preferred.
- Background in healthcare, medical devices, or lead generation is an advantage.
- Excellent spoken and written English communication.
- High attention to detail and accuracy in documentation.
- Proficient in CRM systems, call platforms, and basic computer applications.
