Position Overview:

The Office Manager is responsible for overseeing and managing a variety of administrative tasks for the company, ensuring efficient communication, scheduling, and documentation handling. This role requires strong organizational skills, attention to detail, and the ability to manage workflows remotely while collaborating effectively with medical and administrative teams.

Key Responsibilities:

  • Efficient Management of Correspondence:
  • Manage phone calls, emails, and other forms of correspondence, ensuring prompt responses and accurate information distribution to the appropriate team members or departments.
  • Medical Record and Document Management:
  • Maintain and organize medical records, files, and documents in compliance with confidentiality standards and regulatory requirements.
  • Ensure all medical records and patient documentation are up-to-date and accessible to authorized personnel as needed.
  • Scheduling and Coordination:
  • Coordinate and schedule patient appointments with the appropriate specialists, ensuring all details are accurately recorded.
  • Send appointment reminders to patients and follow up on missed or upcoming appointments to ensure timely care.
  • Administrative Support:
  • Assist in the preparation of reports, presentations, and other administrative documents required by the management team or other departments.
  • Ensure all administrative tasks are completed efficiently and within set deadlines.
  • Collaboration with Medical and Administrative Teams:
  • Collaborate with both medical and administrative staff to ensure effective communication across departments.
  • Provide support in maintaining smooth operations and resolving issues promptly as they arise.
  • Physician Referral Management:
  • Manage and track physician referrals, ensuring they are processed in a timely manner.
  • Communicate with referring physicians and follow up to ensure proper coordination of care.
  • Team Participation and Environment Support:
  • Actively participate in team meetings, contributing to the creation of a positive and collaborative work environment.
  • Ensure open communication and foster a supportive atmosphere within the remote team.

Skills and Qualifications:

  • Proven experience in office management or administrative roles, particularly in a healthcare or medical environment.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other administrative tools (e.g., Google Workspace, scheduling software).
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive medical information appropriately.
  • Strong attention to detail and problem-solving capabilities.
  • Comfortable working remotely and managing a variety of tasks independently.

Education and Experience:

  • High school diploma or equivalent; additional certification in office management, medical administration, or related fields preferred.
  • Previous experience in managing medical records, scheduling, and coordinating healthcare-related tasks is a plus.
