The Administration Assistant is responsible for providing administrative support to ensure smooth daily operations within the food manufacturing company. This role involves handling office management, documentation, logistics coordination, and assisting with regulatory compliance to support the efficiency of business processes.

Key Responsibilities:

1. Office & Administrative Support

  • Perform general office duties, including managing correspondence, scheduling meetings, and maintaining records.
  • Organize and maintain administrative files, contracts, permits, and company documents.
  • Monitor office supplies and coordinate purchases to ensure availability.
  • Assist in preparing reports, presentations, and administrative memos.

2. Facility & Asset Management

  • Coordinate with vendors and service providers for maintenance of office facilities and equipment.
  • Ensure cleanliness, safety, and proper organization of office and manufacturing premises.
  • Assist in monitoring company assets and inventory to prevent loss or mismanagement.

3. Compliance & Documentation

  • Assist in processing permits, licenses, and regulatory requirements from government agencies (e.g., FDA, DOLE, BIR, LGUs).
  • Maintain up-to-date records of company compliance documents.
  • Support the implementation of workplace safety and sanitation standards.

4. Logistics & Procurement Support

  • Assist in coordinating deliveries and logistics for office supplies and manufacturing-related materials.
  • Process purchase requests and supplier invoices for administrative expenses.
  • Maintain relationships with vendors and ensure timely procurement of goods and services.

5. HR & Employees Support

  • Assist HR in processing payroll-related documents, attendance monitoring, and benefits administration.
  • Help in coordinating employee activities, training sessions, and company events.
  • Address employee concerns related to office facilities and administrative services.

6. Security & Crisis Response

  • Support security measures by monitoring access control and coordinating with security personnel.
  • Assist in emergency preparedness plans and implementation of safety protocols.

Qualifications & Skills:

Education:

  • Bachelor's degree in Business Administration, Office Management, or a related field.

Experience:

  • Prior experience in an administrative role, ideally in food manufacturing or the FMCG industry, is preferred.

Skills:

  • Strong organizational and multitasking skills.
  • Basic knowledge of Philippine labor laws and government regulations related to administration.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Good written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
