Patient Collections Specialist

We are seeking a motivated Patient Collections Specialist to join our growing ABA (Applied Behavioral Analysis)therapy practice. In this role, you will be responsible for reaching out to patients and families with outstanding balances via phone, email, and text. This is NOT a call center environment. You will be manually calling customers and have assigned accounts you are held accountable for resolving. Your primary objective is to secure payments, arrange payment plans when needed, and work with customers to resolve disputes, while navigating sensitive financial conversations.

Key Responsibilities

  • Contact patients with past due balances via calls, emails, and text messages.
  • Clearly explain outstanding balances, insurance coverage, and payment options.
  • Negotiate and set up payment plans in accordance with company policies.
  • Accurately document all collection efforts and patient communications in the system.
  • Follow up regularly on payment arrangements to ensure commitments are met.
  • Collaborate with the billing and AR teams to resolve discrepancies or billing questions.
  • Escalate unresolved or complex issues to the Head of Patient Collections.
  • Maintain compliance with HIPAA and other applicable regulations at all times.
  • Achieve KPI's as set forth by company

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree a plus.
  • Minimum 1–2 years of experience in medical billing, patient collections, .
  • Familiarity with insurance terminology and explanation of benefits (EOBs) preferred.
  • Strong communication skills—both verbal and written.
  • Tactful in handling sensitive financial matters with families.
  • Detail-oriented with excellent follow-up and organizational skills.
  • Proficient with Microsoft Office and practice management systems.
  • Proficient in English speaking and writing

Preferred Attributes
