Job Title: Documentation Associate

Location: Makati City

Employment Type: Full-Time (4 days onsite, 1 day WFH)


Position Overview:

The Documentation Associate will handle the documentation of outsourced employees. The role ensures that all employee records are accurate, complete, confidential, and compliant with company and government requirements. This position also supports onboarding, administrative documentation, and basic compliance tasks—an excellent opportunity for fresh graduates to build a career in HR documentation and administration.


Key Responsibilities:
  1. Employee File Management

  2. Maintain and organize employee 201 files.

  3. Assist in file storage, retrieval, and regular record checks.
  4. Confidentiality & Compliance

  5. Handle sensitive employee information with care.

  6. Support compliance with company policies and data privacy regulations.
  7. Onboarding Documentation

  8. Collect and check pre-employment and onboarding documents.

  9. Coordinate with recruiters and new hires regarding document requirements.
  10. Administrative Support

  11. Prepare and update documentation reports.

  12. Assist HR and operations teams with document-related requests.
  13. Government & Banking Requirements

  14. Assist with processing employee enrollment forms (e.g., PhilHealth, SSS, Pag-IBIG).

  15. Help in coordinating with payroll and banking teams for account requirements.
  16. Offboarding & Archiving

  17. Support in organizing and archiving files of inactive or offboarded employees.

  18. Ensure proper labeling and filing for easy retrieval.

Qualifications:
  • Bachelor's degree in Business Administration, Human Resources, Psychology, or related field.
  • Fresh graduates are highly encouraged to apply.
  • Strong attention to detail and organizational skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Ability to maintain confidentiality and professionalism.
  • Good communication and interpersonal skills.

Preferred Skills (a plus, but not required):
  • Internship or experience in HR, documentation, or admin support.
  • Knowledge of labor laws and government requirements.
  • Familiarity with HRIS or document management systems.
