The Purchasing Assistant is responsible for supporting the procurement and inventory management process by creating purchase orders, updating inbound shipment data, and maintaining accurate records in NetSuite (NS). This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while ensuring the timely flow of goods between vendors and internal teams.

Duties and Responsibilities:

  • Create
    inbound shipments
    in NetSuite based on vendor packing lists.
  • Generate
    purchase orders (POs)
    in NetSuite from demand file orders.
  • Enter
    promised ship dates
    from vendors into PO lines in NetSuite.
  • Record
    expected receipt dates
    for each PO line in NetSuite.
  • Add
    backorder (B/O) component due dates
    to work orders (WOs) from inbound shipments and promised ship dates.
  • Provide
    estimated time of arrival (ETA)
    updates to Sales and Customer Service teams.
  • Create
    transfer orders
    in NetSuite for ENV2, ENV3, NW2, and NW3 locations.
  • Update POs in NetSuite based on
    confirmed (PIs)
    .
  • Add and remove
    spike codes
    in NetSuite monthly based on sales analysis.
  • Review
    monthly sales data
    to identify demand spikes.
  • Update
    inbound shipment (INBSHIP)
    data to ENV3 from ENV1 based on distribution plans.
  • Run and maintain the
    Purchase Order (PO) status report
    to monitor order progress and delivery timelines.

Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain, or related field preferred.
  • 1–2 years of experience in purchasing, procurement, or supply chain coordination.
  • Proficiency in
    NetSuite
    or other ERP systems is highly preferred.
  • Strong
    organizational and data management skills
    with excellent attention to detail.
  • Ability to
    multitask
    and meet deadlines in a fast-paced environment.
  • Effective
    written and verbal communication
    skills.
  • Proficiency in
    Microsoft Excel
    , Word, and Outlook.
