Your Role
As an Administrative Assistant, you are responsible for:
- Maintain and update Ascora records for all ongoing and new jobs, ensuring details such as variations, materials, subcontractors, staff attendance, and job notes are complete and accurate.
- Enter and update information related to jobs, purchase orders, and invoices.
- Maintain job folders and ensure all supporting documents (quotes, photos, reports, and correspondence) are properly filed.
- Track project progress, completion dates, and outstanding items.
- Monitor work orders and ensure new jobs are assigned and scheduled promptly.
- Keep records of variations, site instructions, and material deliveries.
- Maintain and manage Workplace Health and Safety records and compliance.
- Prepare discussion topics, coordinate schedules, and document meeting outcomes.
- Oversee company vehicles, tools, equipment, and materials, ensuring accurate tracking and maintenance.
- Licences and Insurances: Manage and update records for business, employee, and subcontractor licences and insurances.
- Job Scheduling & Client Engagement: Coordinate job schedules and liaise with strata, building management, and residents regarding works.
- Communication: Manage correspondence with clients, subcontractors, and third parties via email and phone.
- Email Monitoring: Track and respond to incoming and outgoing emails efficiently.
- Organise and maintain project channels and files.
- Schedule and coordinate internal and external meetings via MS Teams.
- Upload and manage job documents and reports for easy team access.
- Facilitate communication between office and site teams through Teams chat, posts, and calls.
- General Administration: Perform other ad hoc administrative duties as required to support office and project operations.
Qualifications and Experience:
- At least 1-2 years or more experience in general administrative support
- Strong organisational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and job management software (e.g., Ascora)
- Ability to work independently and as part of a team
- High level of accuracy and attention to detail
