Key Responsibilities

  • Ensure vendor invoices and travel & entertainment expenses comply with the Grants of Authority approval process, are accurately coded to the correct general ledger accounts or client/matter numbers, recorded in the appropriate accounting period, and paid according to the terms outlined on tax-compliant invoices.
  • Conduct compliance checks on travel and entertainment expenses, ensuring each report includes proper documentation and necessary approvals as per Company policies.
  • Process bank transfer requests, including obtaining foreign currency when required.
  • Support audit requirements by preparing sample data requested by the Tax and other internal departments.
  • Handle and resolve various routine internal and external inquiries related to account status, including addressing discrepancies and communicating resolutions.
  • Maintain regular correspondence and coordination with the Accounts Payable Team based in the Tampa Office and other local offices.
  • Assist with the onboarding and training of new team members.
  • Contribute to the documentation and continuous improvement of Accounts Payable policies, procedures, and workflows.
  • Support the migration of processes from local offices to the Manila site.
  • Help in the allocation of received invoices and expense reimbursement requests from shared mailboxes and dashboards to appropriate team members.
  • Conduct quality reviews of processed vendor invoices and expense reimbursements.
  • Perform other duties as assigned by management in support of the Firm's operations.

Qualifications

  • Bachelor's degree in Accountancy or Finance
  • 3–5 years of experience in Accounts Payable or general accounting preferred
  • Prior experience in a BPO or Shared Services environment is an advantage
  • Strong attention to detail and accuracy
  • Effective verbal and written communication skills in English
  • Proficiency in Microsoft Excel and other MS Office applications
  • Ability to work effectively under pressure and meet deadlines
  • Highly self-motivated with strong interpersonal skills
  • Collaborative team player
  • Willing to work on rotating shifts and provide weekend support as needed
