Job Purpose

The Payroll Officer is responsible for managing end-to-end payroll processing, ensuring employees are paid accurately and on time while maintaining full compliance with company policies and government regulations. This role plays a key part in maintaining employee trust, supporting HR and Finance operations, and upholding Caring-One's People First philosophy through fair and transparent payroll practices.

ResponsibilitiesPayroll Processing

  • Prepare and process bi-monthly payroll for all employees, ensuring accuracy in timekeeping, overtime, night differential, and other pay components.
  • Review attendance records, leave requests, and adjustments from HR and Operations before payroll cutoff.
  • Verify deductions such as SSS, PhilHealth, Pag-IBIG, withholding tax, and company-specific deductions.
  • Generate and validate payroll reports before submission for approval.
  • Ensure timely release of salaries via company-approved payment channels.

Government Compliance & Reporting

  • Maintain accurate records and remittances for all statutory contributions and taxes.
  • Prepare and submit monthly, quarterly, and annual government reports (e.g., Alphalist, 1601C, SSS R-3, PhilHealth RF-1, Pag-IBIG reports).
  • Coordinate with external agencies and auditors regarding payroll-related matters.

Employee Support

  • Address payroll-related inquiries promptly and professionally.
  • Ensure confidentiality of employee salary and personal information.
  • Provide payroll verification or certificates upon request.

System & Data Management

  • Maintain and update payroll databases and timekeeping systems.
  • Reconcile payroll data with Finance records.
  • Generate periodic payroll analytics and cost reports for management.

Process Improvement

  • Identify gaps or inefficiencies in payroll workflows and recommend process enhancements.
  • Support HR and Finance in developing payroll policies, procedures, and documentation.

Skills & Competencies

  • Bachelor's degree in Accountancy, Business Administration, HR, or related field.
  • At least 2 years of experience in payroll processing, preferably in a BPO or service-oriented company.
  • Proficient in payroll software and MS Excel (VLOOKUP, Pivot Tables).
  • Solid understanding of Philippine labor laws, payroll taxation, and government compliance.
  • Strong attention to detail, confidentiality, and accuracy.
  • Good communication and coordination skills, especially with HR and Finance.

Working Conditions

  • Standard work hours generally follow the company's U.S. client operations (night shift) but may be adjusted as required.
  • Reports directly to the General manager and works closely with Finance and Operations to ensure payroll accuracy and compliance.
