Role: Full-time Executive & Customer Support Assistant
Location: Remote
Schedule: 40hrs/week; Monday to Fridays at 9 AM - 6 PM AEST
Rate: 900 AUD/mo. (paid bi-monthly)
Overview:
We are seeking a detail-oriented and proactive Administrative & Customer Support Assistant to support daily business operations. The ideal candidate will have strong organizational skills, excellent communication abilities, and proficiency in managing spreadsheets and scheduling tools. This role will involve coordinating bookings, handling customer enquiries, and ensuring accurate invoicing processes, with a focus on efficiency and attention to detail.
Key Responsibilities:
Executive Assistance:
- Sort and prioritize incoming emails and calendars to organize daily tasks and workflow.
- Review and maintain Excel workbooks for hygiene, ensuring accuracy in bookings and order numbers for correct invoicing.
- Assist with scheduling and booking processes using designated tools.
- Update and modify spreadsheets as needed to improve reporting and operational efficiency.
- Monitor booking sheets, identify trends, and provide insights to improve processes.
Customer Support/Admin:
- Manage customer enquiries, assessing whether requests are high or low value, and directing them to the appropriate department.
- Provide customer service support, including handling overflow phone calls during busy periods and taking messages from potential customers (as needed).
Qualifications & Skills:
- Proven administrative and customer service experience.
- Strong knowledge of Excel (formulas, formatting, data entry, reporting).
- Excellent organizational and multitasking skills.
- Clear and professional communication skills, both verbal and written.
- Ability to assess priorities and handle inquiries with discretion and accuracy.
- Detail-oriented with a proactive approach to problem-solving.

- Excel
- Outlook
- Assigner (scheduling program)
- (customer booking app)
